Importing contact data from Integris

Read this first - v. important

In order to import data into TXTRound from Integris, you first need to download a Report Definition file from those listed below and install it into Integris.  The process is very simple but it is important that you choose the right report for your school.  The correct choice is determined by where you store contact data in Integris and your Year Group / Class Structure.

 

Once you have downloaded the Report Definition (it doesn't matter where you save it on your computer), you will need to install it in Integris.

Installing your TXTRound report definition into Integris

In order to run the Report Definition you have just downloaded you must first install it into Integris.  The process is very simple with a few steps to follow.  Each step is shown in detail below.

 

Step 1

Log in to Integris and from the Admin tab on the right hand menu choose Reports.

Scroll down the list of Report folders to the Ad Hoc Reports tab.  Then click the Ad Hoc Manager button to the right of the window.

Step 3

In the Ad Hoc Manager, you should click the Import button.  This is the 7th button from the left and looks like red sack wheels.  It is immediately right of the Save button.

Step 4

Select the Report Definition that you downloaded in the first set of instructions.  If you haven't yet downloaded a Report Definition you will need to download one from those available at the top of this page.

Step 5

Your Import process is complete.  Your Report Definition is now available to use in Integris.  You can close the Ad Hoc Manager.

 Importing data into TXTRound    

Step 1

In Integris, select the Admin area of the system from the menu on the right hand side of the screen.  Then choose the Reports option.

Choose Ad hoc Reports from the browse area on the left hand side of the Reports screen.

Step 3

Choose the TXTRoundSimple (this is the ad-hoc report you downloaded and installed earlier) report from the list of available ad-hoc reports. Then click the Print button.

Step 4

When prompted for a Student Search ensure that Roll Status is set to current and then click the Find button.

When prompted choose "Yes" to select all data.

Step 6

When prompted specify a file location to store the exported data and choose a filename such as "TXTRoundExport".  This is the output file from Integris that will be uploaded into TXTRound. Please remember where you save this report (the default is the ctf-exp directory within Integris).

Step 7

You will momentarily see the Processing records display as shown below.  When this disappears you are ready to upload to TXTRound.

Step 8

Log in to TXTRound using your usual username and password.  Click the Group Admin button (from the centre top bar) and then Import records from the link on the right of the screen.

Step 9

Browse for the file that you exported from Integris and select it for Import to TXTRound.

Click Upload.

Step 11

Wait until you see the green status bar below (there might have to scroll down slightly to reach this).  DO NOT press any buttons whilst you are waiting for this to appear.  It may take up to 2 minutes.

If you see any errors or the bar is shaded red, please call us on 0800 0125 357.

 

Step 12

Press Complete Import to finish the process.  Then please wait until you see the screen below.  DO NOT press any buttons whilst you are waiting for this to appear.  It may take up to 5 minutes.

 

Once complete you can click on Group Admin to view your imported data.
